Tutor Information

This is an overview of everything you need to know about working with us. Please take the time to read to the bottom and watch the attached videos which give an overview of all our processes, including general information, invoicing procedures and guides on our lesson system and tutor dashboard.

No Shows- If a student has not logged on 5 minutes after their session was due to begin, please get in touch with us by WhatsApp or by calling us. If we are not made aware of a student not showing up, there will be no payment for the session, as generally this can be rectified with a quick call.

 

Child Protection- Under no circumstances should you exchange personal details with either students or their parents even if requested to do so. All communication between sessions should go through us directly, please only do this if absolutely necessary. Any breach of this will result in the reallocation of your students to another tutor and termination of your position. 

Session recordings and notes- Session recordings and notes are scanned by our systems to ensure there are no child protection issues during sessions, this includes things such as sharing contact details, use of bad language or anything else deemed inappropriate, please be mindful of this. Whilst it is important to build rapport, please ensure you act professionally in your role. To the same effect, please ensure your phone is on silent and all other tabs are closed on your device that are not needed for the session. Tutors will not have access to recordings, these are only available to students, only mics and the whiteboard are recorded.

 

Session changes- If there is a change to the session time or students ask for a week off, please let us know so we can update this on our system. All students are sent a reminder on the day of their session and if we have the wrong time this causes confusion with parents. If a student tells you that they have finished sessions, particularly at exam time, again please let us know. Tutor changes to sessions on the same day are not possible unless in case of emergency.

 

Holidays- If for any reason you will be taking time off, please let us know with plenty of notice. If this is close to student exams, we ask that you make up any missed sessions with students before you go or after you return. Please note that time off for university exam revision will not be permitted, as discussed in initial interviews, as generally this coincides with GCSE and A Level exams. 

 

Referral- If you know of anyone who may be interested in working as a tutor with us, please ask them to get in touch or also feel free to send us their details, we are always on the look out for new team members in most subjects.

Using the online lesson system

You will receive your lesson links by text and email, please type this exactly into the URL bar on your web browser to access the lesson. You can also click on the link directly in the email on your device. Please ensure you have tried to access the link prior to the first session on the device you will be using, in case of any technical issues. If you have not received the link the day before your first lesson with a new student, please contact us. Please use this guide which we provide to students to get set up ahead of your first lesson.

What you need- Any device that connects to the internet, a touch screen is ideal for subjects like Maths so you can write on the shared whiteboard but this is not essential, a laptop will also work but we advise using this alongside a graphics tablet if you plan on writing on the whiteboard. Phones generally should be avoided, due to distractions and the size of the screen. If you're using a touchscreen device like an iPad, a stylus can be very helpful for writing on the whiteboard. The device will need a microphone and speakers/earphones, a webcam can be used but is not essential, however we do recommend at least introducing yourself using the webcam at the start of every session to help build rapport.

Technical issues- In case of technical issues during a session, please firstly try some straightforward steps such as getting the student and you to refresh the link, fully close down the browser and reopen it, if it's a connection issue try turning off the webcams of you and the student. If it's related to sound, please ensure that both mics are turned on and the volume is up on your/student's computer (it sounds straightforward but it happens all the time).  A sound issue can also be caused by earphones not working correctly, please try removing them if this is the case for you or the student. Sound and webcam issues can also be caused by incorrect permissions being selected for the browser that you/the student are using. Using the Tutor dashboard

All tutors will have access to your own dashboard, this allows you to see your timetable for upcoming sessions, including any changes. You can also join lessons directly from your dashboard, so all your links will be in one place. Finally, you can upload lesson notes and homeworks etc. which will then be available to your student. Please note these are all scanned to ensure they include nothing inappropriate, including any sharing of contact details. Click here to watch a run-through of the dashboard.

Invoicing

We make payments on a weekly basis, between Friday-Sunday, depending on your bank, this may appear on a Monday morning. All invoices must be received by Thursday at 9pm at the latest, please feel free to send this as soon as you have had your final session for the week. Please ensure that these are sent on time every week, as it is important for us to make sure all payments have been made for your sessions. If the invoice is not received by Thursday at 9pm, your payment for that week will be delayed until the next payment cycle. Please ensure you keep on top of invoices on a weekly basis as we do not have time to chase these up and it's a very important part of the job, recurrent late invoices may result in the termination of your position. It is worthwhile setting a reminder on your phone to ensure these are submitted on time. 

Please rename the invoice file as your name followed by the number of the invoice, week 1 will be 1, week 2 will be 2 etc. e.g. JODIEBLAIR1. If you are using something like google sheets, please download the file to your device first, then attach it as a document to the email, as opposed to attaching a link for us to download.  Please ensure the document includes pupils' full names. All invoices should be sent by email to admin@reachtutoring.co.uk

If you change your bank account, please send us a WhatsApp to let us know, as we save you as a payee and do not check account details every week.
